3. Electronic Records, Scheduling & Communication
This practice uses Sessions Health, a HIPAA-compliant electronic health record system, for secure messaging, documentation, scheduling, and payment processing.
By using the online scheduling system or secure portal, you acknowledge:
Appointment times are not guaranteed until confirmed.
Electronic communications carry inherent security risks.
The portal is not appropriate for emergency communications.
4. Payment & Financial Responsibility
Prepayment for Scheduled Sessions
Certain appointments may require payment at the time of scheduling in order to reserve the appointment time.
By submitting payment information, you authorize charges for agreed-upon services and confirm that billing information provided is accurate.
If using insurance, you remain financially responsible for copays, deductibles, coinsurance, denied claims, or non-covered services.
5. Cancellation, Rescheduling & No-Show Policy
Appointment times are reserved specifically for you.
Clients must cancel or reschedule at least 48 hours prior to the scheduled appointment date and start time.
Example:
If your appointment is Wednesday at 11:00 AM, cancellation or rescheduling must occur no later than Monday at 10:59 AM to avoid a fee.
Late cancellations, late rescheduling requests, and no-shows will incur a $70 fee, which will be charged to the payment method on file.
Annual Courtesy Waiver
Each client is allowed one (1) courtesy waiver per calendar year to excuse one late cancellation, late reschedule, or no-show.
After the waiver has been used, subsequent late cancellations, late reschedules, or no-shows will result in the $70 fee being charged.
6. Prepaid Session Bundles
Session bundles may be offered at a discounted rate.
If a late cancellation, late reschedule, or no-show occurs:
The $70 fee will be charged to the payment method on file.
If the payment method declines, one session from the bundle will be applied toward the missed appointment.
Because bundled sessions are discounted, no partial credits or price adjustments will be provided.
Example: A two-session bundle purchased for $180 ($90 per session instead of the standard $110 rate) will result in one session being forfeited if applied toward a missed appointment. No additional credit will be issued.
7. Digital Products
This Site may offer digital products including courses, guides, downloads, or other educational materials.
